Reported too late
Your client reports a leaver too late, and the account still closes on time
The email arrives on Monday: could you block the account of someone whose last day was Friday? Or it never arrives, and you find out months later. For an MSP, it is one of the most common and most risky gaps in account management.
The short answer
A leaver is often reported to the MSP too late, while HR has known for weeks: the end date is in the HR system as soon as the contract is terminated. With Joinly, that end date is the trigger. The account, the sessions and the licence close on the last working day, even if nobody has emailed your service desk. If an end date is only entered in HR afterwards, the account closes as soon as Joinly receives that change.
The message that never comes
When someone leaves, nobody at your client is in a hurry to tell IT. The manager arranges the handover, HR the contract, and the email to the service desk gets forgotten. Sometimes it arrives after the last day, sometimes never.
The account keeps working in the meantime. Nobody uses it, so nobody notices, until it surfaces in an audit or an incident.
HR knows before you do
A departure is in HR as soon as the contract is terminated, often weeks or months before the last day. With Joinly, that end date is the trigger. On the last working day the account, the sessions and the licence close, and the rest of the offboarding runs, without anyone having to email your service desk.
If a departure is only recorded in HR afterwards, the account closes as soon as Joinly receives that change. And if an account has to close right away, you block it straight away in Joinly.

You can show that it is right
Every offboarding goes into your client's audit log, with the date and the source. If your client or an auditor asks how you know that leavers can no longer get in anywhere, that is the answer.

Frequently asked questions
What if the client does not report a leaver?
With Joinly they do not need to. The end date in HR is the trigger, and the account closes on the last working day.
What if the end date is only entered in HR afterwards?
Then the account closes as soon as Joinly receives that change from HR.
Can an account be closed right away?
Yes. You block the account straight away in Joinly, with the reason in the audit log.
How do I find accounts of employees who have already left?
By comparing the accounts with HR. Accounts without an active employment then stand out immediately.
- Joinly for MSPsFor an MSP, every joiner and leaver at a client is a ticket, a checklist and work that is hard to bill for. Joinly picks up those changes from your client's HR system and handles accounts, groups, licences and access automatically. For all your clients, from one login, with each client in its own environment.
- IT offboarding checklistWhen someone leaves, IT has one question to answer: can this person still get into anything after their last day? This checklist goes through the steps that takes, and shows for each step what Joinly does as soon as the end date is in HR.
- Cleaning up stale accountsAlmost every environment has accounts that no longer belong there: of people who left long ago, of a test that was never finished, of a connection nobody remembers. As long as they are there, they are a way in. This is how you find them, and how you make sure they do not come back.
- Onboarding and offboardingAn onboarding checklist per client and an offboarding ticket that arrives too late: for most MSPs, that is the work that comes back most often. With Joinly it starts as soon as your client records an employee in HR, and it follows the whole lifecycle.
