How accounts are named, set once per client
Is the account jan.devries, j.de.vries or jdevries? With the official first name or the preferred name? Every client has their own convention, and anyone creating accounts by hand drifts from it sooner or later. In Joinly you set the naming per client, and every account follows that convention.
The short answer
A naming convention sets how accounts and email addresses are built, for example from the preferred name, surname prefix and surname. In Joinly you decide per client how accounts are named. Joinly uses the name details from HR for this, including the preferred name and the partner's surname, and creates every new account according to that convention. If a name changes in HR, Joinly updates the account.
A different convention at every client
One client wants firstname.lastname, another the first initial and the surname. One uses the preferred name, another the official first name from the passport. And then there are the surname prefixes, the double-barrelled surnames and the employees who would rather use their partner's surname.
Anyone who does that by hand does it a little differently at each client than the time before. The result is an address book where nobody can find the colleague they are looking for.
The name comes from HR
Joinly takes the name details from your client's HR system, including the preferred name and the partner's surname. Per client you decide how the account, the display name and the email address are built from them. Every new account follows that convention, without anyone having to think about the spelling.
When the name changes
If someone gets married, or wants to use their partner's surname from now on, HR updates it. Joinly picks up the change and updates the account, so the name in the address book matches the one in HR.
