Most people are not in the office, and the records lagged behind
At a transport and logistics company most people work on the road, in the warehouse or at a customer's site. They need access to planning systems, to the apps on their phone and to the systems they record their work in, but they rarely drop by IT.
Arranging access went per request, and anyone who had been around a while had collected more permissions over the years than the job needed. When it got busy, administration slipped, and reality ran a step ahead of the records again. With more than five hundred and fifty employees and an operation running seven days a week, that is a backlog that is never fully cleared.
What they wanted: one process for everyone, on the road or in the office
The company wanted a driver, a warehouse employee and a planner to go through the same process: employed in HR means access, a change of role means different access, leaving means no access. Without anyone having to request it or drop by.
And the licences had to follow. Whoever no longer needs a licence should not keep it, because in an organisation of this size they add up.
Someone driving seven days a week does not drop by IT. Access has to come to the people.
What was built: access from role, department and site
Joinly reads the HR changes and translates role, department and site into the accounts, groups and permissions that belong with them. A new driver has what a driver needs on the first working day; a planner has what a planner needs. Nobody has to request it and nobody has to work it out.
Licences follow the HR status and the role. Whoever no longer needs a licence, because the role changed or the contract ended, loses it by itself. And when someone leaves, the account closes on the day of departure, in every connected system.

Today: no request needed, and records that are right
What belongs to the role is ready without anyone having to ask for it. Around sixty changes a month run through the same process, for office and operations. And licences nobody uses are released by themselves.
The records no longer lag behind reality. Who works there, what they do and what they can access is one answer, and it comes from HR.
