Four kinds of work, and working out what someone needed every time

A machine builder is a business where engineering, production, service and the office sit under one roof and all need something different. Engineering, the shop floor, the field service and administration all work in different systems. Four worlds, four sets of access.

At this company, with more than two hundred employees, what belonged with a new colleague was worked out again every time. Usually by looking at what the previous colleague in that job had, and they had it from the colleague before them. That made access dependent on whoever happened to pick it up, and as accurate as that person's memory.

What they wanted: set down per job what belongs with it, once

The company wanted to be rid of the working out. What access belongs to a job should be set down, and that agreement should be applied by the system rather than by whichever administrator is on duty. The same job, the same access, whoever creates it and whenever.

Access should not depend on whoever happens to pick it up.

What was built: roles per job and department, from HR

In Joinly it is set down per job and department which accounts, groups and permissions belong with them. Whoever gets the job in HR gets the set. There is nothing left to work out, because it has been worked out already.

A move to another department is one field in HR. Joinly adds the groups of the new department and removes those of the old one, and when someone leaves, the account and licences close on the end date.

The same job gives the same access, every time. IT no longer has to check what someone needs, and a new engineer has the access that belongs to the job on the first day.
