Everything was standardised, except access to the systems

In the food industry, documenting is the norm. Every step in production and quality is described, checked and demonstrable, because the sector requires it and because customers expect it. At this producer, with around two hundred and twenty employees across several production sites, that held for almost everything.

Except for access to the systems. That was arranged per request, was not in any single overview and followed no documented agreement. It made access the part of the business with the least standardisation in it, while it comes up at an audit just as much as the rest.

The producer wanted to treat access the same way as everything else: set down per job what belongs with it, apply that automatically, and record every change so it is demonstrable. An agreement the system carries out, instead of a judgement call case by case.

What was built: set down per job, applied from HR

In Joinly it is set down per job and department which accounts, groups and permissions belong with them, for the office, production and quality. Whoever gets the job in HR gets the set; a change adjusts it; a departure revokes it. Standard access no longer has to be requested, because it has already been agreed.

Every grant and revocation is in the audit log. For an organisation used to putting a file on the table at an inspection, access has become a chapter in that file instead of an exception to it.

Access follows a documented agreement instead of a judgement call. Requests for standard access are no longer needed, and around twenty changes a month run without manual work.

What was granted and revoked is on record. At an inspection, access is now a part that holds up, like the rest of the process.
