Different systems, different truths
At Koninklijke Oosterhof Holman hundreds of specialists work on infrastructure projects across the Netherlands every day. Behind the scenes, reliable employee data plays a crucial part in that: who works where, in which role, under which manager, with which email address and phone number. In practice that proved harder than expected.
That information was kept in several places, and in practice it regularly drifted apart. For HR it meant data was correct in the HR system but did not always match what IT used. For IT it meant updating, checking and correcting by hand, with extra tickets as a result. And for the organisation as a whole it created confusion: employees did not get the right access in time, or got access they did not need.
What they wanted: one entry point, with nobody in between
The wish was clear. Employee information had to be the same everywhere, with one entry point for data from HR into IT, without anyone in between retyping it. What is recorded in AFAS should be leading for the rest of the organisation.
The implementation fell in a period when a lot was changing: new systems, a move towards the cloud and new ways of working. That is exactly when a reliable basis stops being a luxury. Every new system that arrives wants to know who works there, and that answer should exist only once.

What was built: AFAS as the source of truth
With Joinly, employee data is now synchronised automatically from AFAS to the rest of the organisation. A new role, a different department or a changed contact detail no longer has to be entered anywhere else. Accounts are created automatically, email addresses assigned automatically, data updated automatically and accounts deactivated automatically when someone leaves, in Microsoft Entra ID and Active Directory.
What used to take time and invite mistakes now happens in the background. HR only has to get it right in one place, and IT no longer has to check whether the systems are in step. That happens as standard.

Today: control for HR, calm for IT, and always the right access
For HR the biggest gain is control. HR is now genuinely the source of truth for employee data, and that brings consistency as well as confidence in the data. The one-off requests to change details somewhere else have disappeared.
For IT it mostly means calm. Where accounts used to be updated or corrected by hand, that now happens automatically, which saves time and prevents errors and inconsistencies. And for security it makes a real difference: new employees get the right access sooner, permissions are adjusted when a role changes and access is revoked as soon as someone leaves. With that, Oosterhof Holman has considerably reduced the risk of incorrect or outdated access.
