Shifting teams, shifting locations, and access that always lagged behind

In healthcare, people rarely work in one place in one team. They work part time, across several locations, in teams put together around the care needed and therefore changing again. That is the nature of the work, and it is exactly what makes access management difficult.

At this organisation, with more than seven hundred and fifty employees, access was arranged per person and maintained per team. Whoever joined a team had to be put into the right Microsoft groups, the right Team and the shared mailbox of that team. Whoever switched teams had to be taken out again, and that second part was forgotten most often. The work came on top of the daily support, and as long as it was manual, the access picture was always slightly older than reality. Exactly the gap an audit notices.

What they wanted: the HR change as the starting signal

The organisation wanted the staffing HR knows to be the staffing the systems know. A new care worker, a team switch or a departure starts in the HR system; everything that follows should follow from it without anyone retyping it.

And it had to be right per team. Groups, Teams and shared mailboxes are not a side issue in healthcare: they are how colleagues reach each other about clients, rotas and handovers. If that access is wrong, a team notices the same day.

In healthcare the staffing changes every week. Access now changes with it, without anyone having to look at it.

What was built: access that follows from team and role

Joinly reads the HR changes and translates role, team and location into what belongs with them. From that combination follow the Microsoft groups, the Teams someone belongs to and the shared mailboxes they should be on. A new employee has all of it on the first working day, with no request beforehand.

When the team changes, access changes with it. Joinly adds the groups, the Team and the mailbox of the new team, and removes those of the old one, both from the same HR change. Clearing up, the part that used to be left undone, now happens by itself. When someone leaves, the account, the licences and access to shared mailboxes close together, and every step is in the audit log.

Today: straight to work, and demonstrably in order

A new care worker has access to the systems and the teams that belong to the role on the first working day. A team switch costs no ticket and no waiting. At around ninety changes a month, that is work that used to come back every week to people who also had to support the rest of the organisation.

And at an audit there is nothing left to reconstruct. Every change is recorded: who belonged to which team when, what access came with it and when it was revoked again. Access is as current as the HR system.
