A care organisation with more than a thousand care workers, spread across maternity care, domestic support and nursing, lives on assignments that start and end. People come for a period, work in changing places with changing clients, and move on. That comes with the work.

But manual access management cannot keep that pace. At around a hundred and fifty changes a month, accounts of people who have already left stay open longer than intended, simply because closing them is never the most urgent thing. In healthcare, where access to client records is tightly regulated, that is a risk you do not want to run.

What they wanted: an assignment has a start and an end, and so does access

The organisation wanted access to be as temporary as the assignment it was granted for. Whoever starts gets access that day; whoever stops loses it that day, without anyone having to remember. And when an assignment is extended, that should be a decision rather than the result of forgetting.

If turnover is normal, closing access has to be as normal as opening it.

What was built: an end date that does the work

Onboarding, role changes and offboarding run from HR. Temporary access requires an end date, and on that date Joinly closes the access automatically. When an assignment is extended, a reminder arrives in good time, so the extension is a decision and access does not quietly carry on.

Every placement therefore has its own trail in the audit log: when access was opened, what for, and when it was closed again. For an organisation that has to account for who could see which client records, that trail is the answer.

Today: no forgotten accounts, and quick to deploy

The end date does the work, even when nobody remembers. Accounts of people who have finished no longer stay open, and a new assignment means the right access straight away.

Per placement it is visible what was open and when it closed. That keeps turnover the normal state of affairs, instead of a risk that grows with it.
