Access in order in a chain that gets inspected

In a chain that gets inspected, access was the weakest point

A pharmaceutical wholesaler sits in the middle of a chain that comes with oversight. Which medicines are where, who handled them and who can see the records about them is checked by the organisation itself and by the regulator. At this wholesaler, with around two hundred and forty-five employees, all of that was in order.

Access to the systems was the weakest point in it. It was granted by hand, so it was right at the moment of granting; after that nobody was sure. With shift work, changing staffing in the warehouse and people moving between departments, the gap between what someone should have and what someone had grew a little every month.

What they wanted: access as current as the staffing

The wholesaler wanted access to reflect the staffing at any moment. What someone gets should follow from the job; what someone no longer needs should disappear automatically; and what happened should be on record. So that at an inspection the overview is ready rather than having to be made.

Access that is right at the moment of granting is not enough. It has to be right every day after that too.

What was built: permissions per job, revoked immediately on a change

Joinly reads the HR changes and translates role and department into the permissions that belong with them, for the office, the warehouse and quality. A change of role adjusts the permissions and revokes what no longer belongs to the new job; a departure closes the account that same day.

Every grant and revocation is in the audit log, with the change that caused it. For an organisation used to inspection, access has become a part that is demonstrable in the same way as the rest of the chain.
