A construction and infrastructure supplier, with sites across the country and around five hundred employees, works in projects. Whoever joins for a project needs quick access to the planning, the drawings and the systems of the site. Whoever is finished does not need to keep that access.
In practice the first was arranged by hand, and the second often was not. Arranging access case by case takes time, and clearing up afterwards is exactly the kind of work that gets left when it is busy. After a few years the organisation had more accounts than people, and nobody knew precisely whose they were.
What they wanted: permanent and temporary through the same process
The organisation wanted one process for everyone, whether a permanent employee or someone joining for a single project. Employed in HR means access, finished means no access. The only difference between permanent and temporary should be the end date.

What was built: roles per job, an end date for whoever is temporary
Joinly reads the HR changes and translates role and department into the accounts and permissions that belong with them. For temporary employees the end date is required: on that day access closes automatically, and when the assignment runs longer a reminder arrives in good time.
Permanent employees go through the same process, only without an end date. A change of role adjusts the permissions and a departure closes the account, in every connected system at once.

Today: quick to start, and no loose ends
Access is ready the moment the work starts, and afterwards nothing is left that nobody uses. Around sixty changes a month are absorbed by the process rather than by the service desk.
The organisation has as many accounts as people again, and knows for every account whose it is and until when.
